From Chaos to Perfect Coordination – Organising an outdoor wedding fair

I recently had a chance to create an enchanting space where suppliers can advertise their services and couples can start turning their dreams into reality. 

Phillips Park in Whitefield, was the setting for unfolding magic, from choosing the perfect exhibitors to ensuring the big day runs smoothly and marketing your fair effectively. 

So, I rolled up my sleeves, and transformed the disarray of a park’s hardly used barn,  into an organised, stunning wedding fair.

It was an idea I had, after attending the park regularly as a volunteer for Incredible Edible, an oasis, in the calm of a park to create an allotment style environment for the community.

My idea quickly came to fruition, as it soon came to choosing Wedding Fair Exhibitors, this selection process was crucial!

It’s not just about filling up the stands; it’s about finding wedding suppliers that align with your vision, and can offer a diverse range of services to satisfy varying tastes of potential wedding couples.

Luckily, I knew some fab wedding suppliers who shared my enthusiasm for the fair.

When reaching out to potential exhibitors, I had to be clear about the type of audience they can expect at the fair. This helped them tailor their offerings to meet the unique needs of the attendees. I did let them all know to keep it as an outdoorsy festival style vibe.

Remember, diversity is key. A mix of traditional and contemporary exhibitors, covering everything from wedding gowns to caterers, photographers to florists, gives your fair a wide appeal. It’s was all about offering a holistic experience that allowed wedding couples to visualise their big day.

After securing a diverse mix of vendors, it was time to focus on the big day. Smooth sailing on your wedding fair day isn’t just wishful thinking, it’s a result of careful planning and decisive action. I put my plan into place.

I ensured vendors arrived early and set up as planned, with designated spaces that aligned with a strategic layout.

It was the creating a magical, stress-free environment for couples to visualise their dream wedding that kept my passion for this fair alight.

I explored how to effectively market the event. Spreading the word about a wedding fair is like weaving marketing magic. It was a stressful, yet easy task with the platforms of social media.

The goal was to create an irresistible invitation for potential couples to step into a world where they can visualise their big day coming together seamlessly. The magic lies in the vision, and with the right strategies, if you want to arrange a fair, you can ensure your wedding fair is the talk of the town.

The day was a success, we had wedding couples arrive during the morning, but sadly, the heavens opened up to a storm during the afternoon. A park wedding fair wasn’t going to smash it with the heavy rain lashing down.

Still, the wedding suppliers were able to network and I could see a lot of conversations going on.

Wedding fairs are a place for suppliers to show their talents and gives couples a chance to chat and research for their big day.
